Diaries, calendars and volunteer merchandise for NGOs and trusts in Lucknow
NGOs, trusts, foundations, societies and religious and educational trusts in Lucknow need branded print that does two jobs: thank the donors, trustees and partner institutions who fund the work, and equip the volunteers and events through which the work is done.
The usual order is a donor diary with the organisation's story inside, a programme calendar that puts the cause on a wall for twelve months, volunteer T-shirts and bags, and event kits — all on a modest budget, finished well enough to sit on a donor's desk.
A non-profit's print budget is small and watched closely, and the pieces are seen by the people who approve the next grant. The question is not how to spend less, but where a little finish matters and where it does not. This page sets out that judgement, piece by piece.
Thanking donors and equipping volunteers
The donor side of the list is short and important: individual donors, trustees, the CSR teams of companies that fund programmes, the government and institutional partners who refer beneficiaries, and the chief guests at the annual function. These people receive a diary at New Year or a small boxed set at the annual day, and what they notice is whether the piece tells the organisation's story — the field photographs, the numbers, a note from the trustees — rather than whether the cover is leather.
The volunteer side is longer and more practical. A blood-donation camp, a plantation drive, a walkathon or a literacy programme needs T-shirts so the team is visible, bags for the kit, pens and notepads for registration. These pieces are ordered in the organisation's colours, screen-printed in one or two colours, and must be ready for a date that does not move.
Budget tiers for a non-profit's list
Most organisations run three tiers — trustees and major donors, the wider donor and partner list, and volunteers and staff — and the finish steps down with each. Budget is relative, not a price.
| Recipient | Purpose | Product | Finish that works | Budget |
|---|---|---|---|---|
| Trustees and major donors | Recognition, continued support | PU diary with name, pen, paper weight | Foil name, debossed logo, boxed | ₹₹₹ |
| Regular donors and CSR partners | Thank-you and impact report in one | A5 diary with impact pages | Printed cover, foil logo | ₹₹ |
| Partner institutions and schools | Keep the programme visible | Programme wall calendar | Full colour, field photographs | ₹ |
| Volunteers | Identity at drives and camps | Screen-printed T-shirt, jute bag | One or two colours | ₹ |
| Event participants | Walkathons, conferences, annual day | Event kit: bag, tee, pen, notepad | Event artwork plus logo | ₹ |

Cause-themed calendar design
A programme calendar is the one piece that shows the work for a full year on a donor's or partner's wall. These are the elements that make one worth hanging.
- Field photographs, with consent
- One strong photograph per month from the programmes — classrooms, camps, plantation sites — with the organisation's permission and the subjects' consent noted. We check each image at print size before artwork.
- Impact figures by month
- A single number per sheet — children enrolled, saplings planted, patients screened — placed with the photograph. Twelve numbers over a year make the case better than a paragraph.
- Programme dates
- Annual camps, drives, the foundation day and the annual function marked on the grid, alongside national and Uttar Pradesh holidays, so partners know when to expect the organisation's calls.
- Donation details as supplied
- If the calendar carries bank details, a UPI QR code or registration and exemption lines, the organisation supplies the exact wording and we place it unchanged on the footer of each sheet.
- Hindi and English
- Calendars that go to field partners, panchayats and schools carry Hindi first; donor calendars often carry both. Devanagari is typeset properly.
- Six sheets or twelve
- A six-sheet wall calendar with two months per sheet keeps the cost down while still showing six programmes; table calendars for donors' desks follow the same artwork.
Keeping the budget modest without looking cheap
These are the decisions that bring a non-profit's order inside budget while keeping the finish that donors and trustees expect.
- Put the money into design and photographs, not cover material — a laminated board diary with a strong cover and good inside pages reads as considered
- Use one foil colour on the donor tier and full-colour print on the rest of the list, from the same artwork
- Choose a six-sheet wall calendar over twelve where the programme count allows
- Screen-print T-shirts in one or two colours rather than full colour; the organisation's logo in white on a coloured tee is the most legible at a camp
- Combine lots — donors, staff and partners on one diary run — to reach the 100-piece minimum at a better rate
- Order in October or November, inside the season, rather than as a rush in December
The budget-per-recipient guide shows how to tier a list when the total is fixed, and where paper and sheet counts can be saved without the diary feeling thin.
A worked example: an education trust's year
This is an illustrative brief, not a client case study. An education trust with its office in Aliganj runs twelve after-school learning centres across north Lucknow and Sitapur Road, supported by about 60 regular donors, two CSR partners and a board of seven trustees, with 200 volunteers and an annual day for 500 guests in February. Its print year has three parts: New Year diaries for donors, trustees and partners; a programme calendar for donors, the centres and the partner schools; and volunteer T-shirts and an event kit for the annual day.
The donor diary is an A5 with a laminated cover carrying a field photograph, twelve impact pages inside and a thank-you note from the trustees — 100 copies, with the seven trustees' and two partners' copies upgraded to PU with their names foiled. The programme calendar is a six-sheet wall calendar, 1,000 copies, going to donors, the twelve centres, 40 partner schools and the volunteers. Photographs and the year's numbers arrive in the last week of October, the sample diary and calendar sheet are checked by the secretary in mid-November, and both are delivered to the Aliganj office before mid-December. The 200 volunteer T-shirts and 500 event bags with pens and notepads are approved in January and delivered a week before the annual day.
Religious trusts, educational trusts and societies
Temple, gurudwara, mosque and church trusts and the societies that run community halls order calendars first: a wall calendar carrying the trust's festival and observance dates, supplied by the trust, is what devotees ask for each December, and the run often goes into thousands. Diaries for the managing committee and donors follow the same tiers as any other non-profit.
Educational trusts that run schools and colleges have two lists — the institution's own almanacs and staff diaries, covered on the schools and colleges page, and the trust's donor and trustee gifts, covered here. Where the trust also runs a hospital or dispensary, the hospitals and clinics page applies to that side of the work. One artwork session can serve all three.
Where Lucknow's non-profits work from
The offices of Lucknow's NGOs, trusts and societies are spread through residential localities rather than business districts — Aliganj, Mahanagar and Jankipuram in the north near our own studio, Indira Nagar in the east, and the older religious and community trusts of Chowk and Aminabad — with the foundations attached to companies and hospitals in Gomti Nagar. We deliver by hand to all of them from Vikas Nagar, and the full list of localities is on the Lucknow areas page.
For an organisation that wants to see the process before committing, how we work explains the mockup, sample and approval steps — the same for a trust ordering 100 diaries as for a company ordering 5,000. Trusts come back through the year for donation receipt books, programme brochures and volunteer notebooks.
Questions NGOs and trusts ask
We have a small budget — what is the least we can order?
100 diaries or table calendars, and 1,000 wall calendars. Most organisations reach 100 by putting donors, trustees, staff and partners on one diary run, and reach 1,000 calendars by including partner schools, centres and volunteers.
Can the diary carry our impact numbers and field photographs?
Yes. Impact pages with photographs and figures, a note from the trustees and the organisation's story are typeset into the front of the diary from the material you supply, and proofed before the sample.
Can the calendar carry our bank details or a donation QR code?
Yes. Supply the exact wording, account details or QR image, and any registration or exemption lines your auditors require; they are placed unchanged on the footer of each sheet and shown on the mockup for your approval.
Do you print volunteer T-shirts in small quantities?
Yes. T-shirts are screen-printed in your colours with sizes from a list, and are ordered alongside bags, pens and notepads for an event. They are ready 5–10 working days after the artwork is approved.
Can a few donor copies be upgraded while the rest stay basic?
Yes. One artwork runs across tiers: trustees' and major donors' copies in PU with names foiled, the rest in laminated board. The upgraded copies are packed separately and labelled.
Is a GST invoice issued to a trust or society?
Yes. A GST invoice is issued in the organisation's name on every order. Payment is by bank transfer, UPI or card, with an advance on confirmation and the balance before delivery.
