Employee gifts vs client gifts: what changes

Employee gifts and client gifts are bought from the same catalogue but to opposite briefs: employee gifts are high in quantity, modest per head, openly branded and distributed internally, while client gifts are few, higher per head, quietly branded and delivered to someone else's desk. Getting the two confused — a loud logo on a client diary, a plain box for a thousand staff — wastes budget in both directions.

Quantity and tiering

Employee gifts scale with headcount: everyone on the payroll gets the same set, with at most a second tier for senior management. The quantity is known from HR, changes little, and is distributed by the company's own admin team at each office. Client gifts scale with the relationship list: tens or low hundreds, chosen name by name by sales or the leadership, often with two or three tiers inside the list.

Because the employee lot is large and uniform, it gets the benefit of the per-piece curve; because the client lot is small and tiered, it carries more of the set-up cost per piece and should be designed to share dies, proofs and artwork with the employee lot wherever possible.

Budget band

Employee sets usually sit in the ₹₹ band — a standard customised-cover dated diary, a 6-sheet table calendar and a printed pen — with the senior tier at ₹₹₹. Client sets sit at ₹₹₹ for managers and partners and ₹₹₹₹ for directors and key accounts: a PU or genuine leather diary, a metal pen, a 12 or 13-sheet table calendar, a magnetic box.

The ratio matters more than the absolute figure. If the client set is not clearly a step above what your own staff received, it reads as an afterthought; if it is more than eight or ten times the employee set per head, it starts to look like something other than a gift. How to size the tiers is set out in how to budget corporate gifts per recipient.

Personalisation

Employee gifts benefit from names: a foil-stamped name on a diary signals that the company sees the person, and names also solve distribution because each diary is already assigned. The cost is a sorted list from HR and a checking step at packing.

Client gifts are personalised differently — by tier, by a handwritten or printed card from the account owner, by the recipient's name on the box rather than stamped on the product, so that the product itself stays clean and keepable. A name stamped on the cover of a client's diary is fine; the client's company logo next to yours is usually too much.

Packing and distribution

Employee sets are packed per office in cartons with a packing list; a sleeve or poly bag per set is enough, because HR hands them out in person. Client sets are packed per recipient in a box that can be handed over or couriered as it is, with the greeting card inside and the recipient's name on a label, because the box is part of the gift.

On a national order the two lots travel differently: employee cartons go to each branch for internal distribution, client boxes often go to the account owner's office or directly to the client's address. Share both lists at the briefing stage so the packing and dispatch are planned once.

Logo prominence

On employee gifts the brand can be open: a full-colour printed cover, the values or the year's theme inside, a logo on every page footer. The diary is an identity object inside the company and a large logo is read as belonging, not advertising.

On client gifts the logo should be small, single-colour and well placed — a blind deboss or a foil mark on the lower corner, a discreet line in the page footer — because the diary will sit on a desk that is not yours, next to competitors' gifts. The item that is kept is the one that does not look like a promotion. Material choices for the client tier are compared in PU leather vs genuine leather diaries.

Timing

Employee gifts cluster at New Year (2027 diaries and calendars) and at onboarding, which runs all year and favours undated A5 notebooks. Client gifts cluster at Diwali — 8 November 2026 this year — and at New Year, with the New Year set the safer choice for pan-India lists because it avoids questions of festival and faith.

Both can be produced from one artwork in one run; see the New Year corporate gifts 2027 page for the set options and when to order 2027 diaries and calendars for the dates.

Questions buyers ask

Should employees and clients get the same gift?

The same design, not the same set. Run one artwork in tiers: a standard customised-cover diary for staff, a leather-finish diary and metal pen in a box for clients. The brand stays consistent and the set-up cost is paid once.

How big should the logo be on a client gift?

Small, single-colour and in a corner — a blind deboss or foil mark. A client's diary sits on someone else's desk; the quieter the branding, the longer it stays there.

Is name personalisation worth it for employees?

Yes. It signals attention and solves distribution, since each diary is already assigned. The cost is a clean list from HR and a checking step.

Which matters more for client gifts: the item or the box?

The item, but the box is seen first and the card is read first. A good PU diary in a magnetic box with a short note from the account owner beats a dearer diary in a poly bag.

Diwali or New Year for client gifts across India?

New Year for pan-India lists: a 2027 diary and calendar are useful to every recipient and avoid assumptions about festivals. Diwali works where the list is known to celebrate it.
