Onboarding kits and corporate gifts for IT companies and startups in Lucknow

Most technology companies in Lucknow run four gifting moments a year, and planning them together lets one artwork session cover all four.
January – March: client sets and appraisals
New Year sets for client accounts, and a planner or a laptop bag given with promotion letters after the appraisal cycle. Dated diaries are at their most useful here.
April – June: the new financial year and campus joiners
Startups and services firms reset targets in April, and the first wave of campus hires joins in June and July. The onboarding kit lot for the year is usually produced in this quarter.
July – September: anniversaries, hackathons and events
Work-anniversary gifts, hackathon and town-hall T-shirts, and conference bags for the events season. T-shirt and bag orders peak.
October – December: Diwali and the 2027 planners
Diwali gifts for the whole team and the top clients, then undated or 2027 planners for everyone before the year closes. This is the quarter most teams under-plan.
Kits by tier, from intern to client
An onboarding kit is a set, and the set changes with the person receiving it. These are the usual configurations; budget is relative, not a rate.

Design choices technology teams ask for
The brief from an IT company or a startup tends to be about restraint. These are the choices that come up most, and what each means in production.
- Undated and minimal
- Planners without a printed year, so a kit made in June is still right in January. Dot-grid, weekly or blank layouts; the diary versus planner guide explains the formats.
- One-colour logo, debossed
- A single-colour mark blind-debossed on a PU or board cover, or laser-engraved on a steel bottle and pen. No gold foil unless asked for, and the logo at the size the brand guide specifies.
- Laptop bags that fit
- 14-inch and 15.6-inch laptop bags with a padded sleeve and a screen-printed logo; hybrid teams usually choose this over a conference bag.
- T-shirt fabric and sizes
- Round-neck or polo, with sizes from an HR sheet. Sizes run out unevenly, so kits are made to the sheet rather than to a standard spread.
- Brand colours matched
- Startups with a strong palette want the bag, the planner cover and the box in the brand colour, not in a near match. We show swatches on the sample before the lot is made.
- A card or a QR in the box
- A welcome card from the founder or the HR head, or a printed card with a QR code to the onboarding portal, placed on top when the box is opened.
Dispatching kits to remote and outstation employees
A Lucknow IT company's team is rarely all in Lucknow. Developers work from Noida, Pune, Bengaluru and their home towns in Uttar Pradesh and Bihar, and the onboarding kit has to reach them where they are, on or before the joining date. Send a sheet with names, addresses, phone numbers and sizes, and each kit is packed individually in a courier-safe box with the recipient's name on the label and dispatched from Vikas Nagar by courier, with tracking numbers shared back against the sheet.
Kits for people joining in Lucknow are delivered to the office by hand for HR to give at induction. Companies that hire steadily order a quarter's kits at once — the minimum run is 100 planners or diaries — and hold them at their own office, dispatching outstation kits themselves or sending us a fresh address list each month. Client gifting to outstation accounts
Technology firms' clients are mostly outside the city, and the gift has to survive a courier journey and still look considered when the box is opened in a Gurugram or Hyderabad office. The set that works is compact and solid: a genuine-leather or PU diary with the client's name, an engraved metal pen, and a rigid box that holds both without movement. Glass paper weights travel less well and are better kept for sets handed over in person.

A worked example: a services company's hiring year
This is an illustrative brief, not a client case study. An IT services company with 320 people, head office in Vibhuti Khand and about a third of its staff working remotely, plans to hire 150 people over the year, with 60 of them joining in June and July from campus. It wants a standard welcome kit — undated planner, pen, steel bottle, canvas bag, T-shirt and a founder's card in a brand-colour box — plus 20 senior-hire kits with a PU diary, engraved pen and laptop bag, and 40 client sets for Diwali.
The HR team approves the kit mockup in April and checks a sample box, including the brand-colour match on the box and bag, in the first week of May. The first lot of 100 standard kits and the 20 senior kits is produced in the usual window and delivered to the office by hand in the last week of May. Forty of the June joiners are remote, so the company sends an address and size sheet and those kits are dispatched individually by courier in the week before each joining date. A second lot of 100 kits is produced in September, and the 40 client sets — leather diary with name, engraved pen, boxed — are dispatched to account addresses in the week before Diwali.

Questions IT companies and startups ask
Can you make a planner without a printed year?
Yes. Undated planners with dot-grid, weekly or blank layouts and a debossed single-colour logo are the most common request from technology teams. They are made in the same cover tiers as dated diaries, from board to PU.
Can kits be couriered to remote employees' homes?
Yes. Send a sheet with names, addresses, phone numbers and T-shirt sizes. Each kit is packed individually in a courier-safe box with the name on the label, dispatched from Lucknow, and tracking numbers are shared back against the sheet.
We hire 20–30 people a month — what is the minimum lot?
100 planners or diaries per run. Most companies produce a quarter's kits at once, hold them at the office, and either dispatch outstation kits themselves or send us an address list each month for individual dispatch.
Can the box and bag match our brand colour exactly?
Closely. We match the brand colour on the box wrap, the bag and the planner cover from your colour references and show physical swatches on the sample. Where a stock material does not match, we tell you before the lot is made.
Will a client gift set survive a courier journey?
A rigid box holding a leather diary and an engraved pen travels well. We keep paper weights out of couriered sets and pack each box with a protective outer carton; delivery across India is by courier with tracking.
How long from approval to the first kits?
5–10 working days after the kit mockup and the sample box are approved. For June and July campus joiners, approving the kit in April and the sample in early May is comfortable.
