Diary vs planner vs notebook: which to gift
A diary is a dated book with a page or part-page for every day of a given year; a planner is a structured book — weekly or monthly spreads, goals, habit or project pages — that may be dated or undated; a notebook is undated ruled, dotted or plain pages with no fixed structure.
For gifting, the diary suits January and daily schedulers, the planner suits people who manage projects and teams, and the notebook suits anyone, at any time of year.
Definitions, properly
A dated diary is built around the calendar: 365 days in order, usually one day per page in B5 with Saturday and Sunday sometimes sharing a page, plus a year planner, month planners and a holiday list at the front. It is useful from 1 January and useless after 31 December, which is why it is the New Year gift and why its order window is October to December.
A planner is organised by purpose rather than by date: week-per-spread pages with task columns, monthly overview grids, project or goal pages, meeting-note templates, habit trackers. Dated planners exist; undated planners are more common in corporate gifting because they can be issued any month. A notebook is the simplest object — a hardbound block of ruled, dotted or plain pages, usually A5 with 200 or more pages — and the one with the least risk of going unused.
Dated or undated
Dated books are used more intensively but by fewer people, and only if they arrive on time. Undated books are used by more people, less intensively, and can sit in a store cupboard until onboarding or an event. For a New Year programme choose dated; for welcome kits, conferences, training batches and dealer meets through the year choose undated.
A practical compromise for national companies is a dated B5 diary in January for staff and clients and an undated A5 notebook as the standing item for new joiners and events, both from one artwork. Both are described on the corporate diary manufacturer and customised diary printing pages.
Layouts and who uses what
Day-per-page suits people who take appointments and notes by hand through the day — sales managers, doctors, administrators, school staff. Week-per-spread suits planners and reviewers who need the whole week in view — project leads, founders, consultants. Ruled pages suit everyone who writes meeting notes; dotted pages suit designers and engineers who sketch; plain pages are the least liked for daily business use.
Ask who the recipients are before choosing the layout. A field sales force given a week-per-spread planner will not use it; a consulting partner given a day-per-page diary will keep it in a drawer. When the list is mixed, the dated day-per-page diary is the safer default because it is the format most Indian offices already know.
Size, paper and binding by type
Dated diaries are B5 (176 × 250 mm), hardbound, 300–370+ pages of 70 GSM, in a leather-finish or printed cover. Planners are A5 or B5, hardbound or wiro depending on whether they are carried or stay on a desk, 150–250 pages, often on 80–100 GSM because the pages carry printed structure. Notebooks are A5 (148 × 210 mm), hardbound, 200+ pages of 70 GSM, ruled or dotted.
The sizes and paper weights are explained in diary sizes, paper and GSM explained. The short version: B5 for anyone writing a page a day, A5 for anyone carrying the book between meetings.
Cost band and the right occasion
Per piece, the undated A5 notebook is the lowest band (₹), the customised-cover dated B5 diary sits at ₹–₹₹ depending on tier, the leather-finish dated B5 at ₹₹–₹₹₹, and a structured planner with printed templates and heavier paper at ₹₹–₹₹₹ because of the extra design and paper. Genuine leather in any format moves to ₹₹₹₹.
Match the book to the occasion: dated diary and calendar for New Year, undated notebook for onboarding, events and training, planner for a leadership offsite or a management programme where the structure is the point. For the recipient split see employee gifts vs client gifts.

Questions buyers ask
What is the difference between a diary and a planner?
A diary is organised by date — a page for each day of a given year. A planner is organised by purpose — weekly spreads, goals, projects — and is often undated so it can be started in any month.
Is an undated notebook a good corporate gift?
Yes, and the lowest-risk one. It can be given at any time, suits every role, and is the standard item in onboarding kits and conference bags. It carries the brand for as long as it takes to fill 200 pages.
Should we gift dated diaries if some recipients will not use them?
For a New Year programme, yes — the dated diary is still the most used corporate gift in Indian offices. Add an undated notebook to the standing kit for joiners and events so the two cover each other.
Which size is right for each type?
B5 for a dated day-per-page diary, A5 for an undated notebook, A5 or B5 for a planner depending on whether it is carried or stays on a desk.
Which costs the least per piece?
The undated A5 notebook. A customised-cover dated B5 diary costs more for the extra pages and the dated section; a leather-finish cover or a planner with printed templates costs more again.
