Diaries, calendars and pens for government departments and PSUs in Lucknow

Lucknow is the state capital, and its departments, boards, corporations, PSUs and autonomous bodies print calendars and diaries every year for their own offices and for the officers and visitors who pass through them.

The usual list is a bilingual Hindi–English wall calendar for every section office, a diary for officers with the department's emblem and planning pages, and pens for meetings and inspections. We provide a quotation on our letterhead and a GST invoice for the institution's purchase process, and deliver by hand across the city.

Institutional buyers work to rules that a private company does not: the emblem must appear exactly as prescribed, Hindi comes first, the paperwork must fit a purchase file, and the calendar has to be on every wall by the first week of January. This page is about meeting those rules without fuss.

What a department or PSU actually orders

The order from a government office is dominated by wall calendars. Every section, every officer's room, the reception, the record room and the meeting hall needs one, and a directorate with district offices multiplies that by the number of districts. A 17×22 inch wall calendar with a metal strip, six or twelve sheets, carrying the department's schemes or achievements month by month with a Hindi–English date grid, is the standard piece.

Diaries come next, in two or three grades: a PU or genuine-leather diary for the head of department and senior officers, often with the officer's designation on the cover, and a laminated or leatherette A5 diary for section officers and staff. Inside, the pages that matter are the officer directory with telephone numbers, the list of gazetted holidays and restricted holidays for the state, and a year planner for reviews and inspections.

Pens, table calendars and paper weights fill out the list — pens for review meetings and training programmes, table calendars for officers' desks, and glass or crystal paper weights with the emblem for the conference table and for visiting delegations.

Emblem, logo and language rules

These are the points on which institutional artwork is most often sent back, and the ones we confirm in writing before a mockup is made.

The emblem as supplied
The state or national emblem is reproduced exactly from the file the office provides, at the size and position the office specifies. We do not redraw, recolour or stylise it, and the mockup shows it at actual print size for the officer to check.
Department and scheme logos
Scheme logos, campaign marks and the department's own logo are placed in the order the office prescribes. Send the files as vectors; scanned letterheads reproduce poorly on a calendar sheet.
Hindi first
Month names, day names, holiday names, captions and the officer's message are set in Hindi with English alongside where the office wants it. Devanagari is typeset in a proper Hindi font with correct matras and conjuncts, not a transliteration font.
Holiday list
The calendar grid marks the gazetted and restricted holidays from the state's published list for 2027, plus national days. Department foundation days and campaign weeks can be added.
Designations, not just names
Officer diaries usually carry the designation — not only the name — on the cover or first page, and the transfer-prone nature of posts means many offices prefer designation alone.
Photographs and captions
If the calendar carries photographs of projects, events or dignitaries, the office supplies them with approved captions. We place them as supplied and do not crop out credit lines.

From the directorate to the section office

An institutional order splits by office level rather than by seniority alone. The table shows how a typical state body's order breaks down; budget is relative.

How an institutional purchase runs with us

  1. Enquiry from the section or purchase officer

A telephone call, WhatsApp message or email with the item list and approximate quantities. We reply the same working day with questions on emblem, language and delivery points.

  2. Quotation on letterhead

An itemised quotation on our letterhead with specification, quantity, rate, GST and validity, in the number of copies and the format your file requires. Quotations and GST invoices are provided for institutional purchase processes.

  3. Mockup and physical sample

A mockup with the emblem at actual size, then a bound sample diary and a printed calendar sheet brought to the office so the approving officer sees paper, binding and colour.

  4. Supply order and production

On receipt of the office's order, our partner presses complete the run in 5–10 working days after artwork approval. Quantities per office are packed and labelled separately.

  5. Delivery with challan and invoice

Hand delivery to offices in Lucknow against a delivery challan, with the GST invoice; district offices receive their lots by transport with tracking. Payment by bank transfer as per the office's process.

A worked example: a state board with district offices

This is an illustrative brief, not a client case study. A state board headquartered off Vidhan Sabha Marg has 18 district offices and a training centre on the Kanpur Road side. For 2027 it needs 2,400 bilingual wall calendars — 120 for the head office, 100 for each district office, the rest for the training centre, allied offices and visitors — plus 60 PU diaries with designations for senior officers, 600 laminated diaries for staff, and 1,500 pens for training programmes through the year.

The purchase section asks for a quotation in the second week of October; it is issued on letterhead with HSN codes and GST. The emblem file, the scheme photographs with captions and the 2027 holiday list arrive in the last week of October. The mockup is approved after one change to the Hindi caption sizes; the sample calendar sheet and bound diary are checked by the administrative officer in mid-November. Production runs in the usual window, the head-office lot is delivered by hand against a challan in the second week of December, and the 18 district lots leave by transport in the same week, each labelled with the office name in Hindi and English.

Timing around the calendar year and the financial year

Wall calendars and dated diaries are a January item, and most institutional enquiries arrive between September and November so that the quotation, the office's internal approval and the sample fit before the December production rush. Approving artwork by mid-November is comfortable; the 2027 order timeline shows week by week what a later approval means for delivery.

A second round of institutional orders comes in February and March, when offices use the remaining budget of the financial year on undated items — pens, paper weights, conference bags, undated planners for training — which do not depend on a calendar date and can be stocked for the year's programmes. The promotional products page lists what suits that round.

Where Lucknow's government and PSU offices are

The Secretariat, Vidhan Sabha and most directorates are in and around Hazratganj, and we deliver there against gate passes with the delivery person's details shared in advance. Newer department buildings, boards and PSU corporate offices are concentrated in Vibhuti Khand and Vipin Khand in Gomti Nagar, and the railway, transport and utility offices sit around Charbagh and Alambagh. Our own studio is in Vikas Nagar; the full delivery list is on the Lucknow areas page.

Offices with establishments across the state will find the dispatch arrangements on the Uttar Pradesh page. Scheme-led calendar themes — one scheme or achievement per month — are the most common brief we receive from state bodies. Departments also use the desk for numbered receipt books and registers and annual reports and scheme brochures.

Questions government offices and PSUs ask

Do you provide a quotation on letterhead for our purchase file?

Yes. An itemised quotation on our letterhead with specification, quantity, rate, GST and validity is issued the same working day, in the copies and format your office requires. Quotations and GST invoices are provided for institutional purchase processes.

Can the calendar be entirely in Hindi, or Hindi with English?

Either. Hindi-only calendars are common for field offices; head offices usually want Hindi first with English alongside. Devanagari is set in a proper Hindi typeface with correct conjuncts, and the mockup is checked by your Hindi officer before the sample.

Will the state emblem be reproduced correctly?

It is reproduced exactly from the file your office supplies, at the prescribed size and position, without redrawing or recolouring. The mockup shows it at actual print size, and the printed sample is brought to the office for the approving officer to check.

What is the minimum quantity for a department?

1,000 wall calendars and 100 diaries or table calendars. Departments with district offices reach the calendar minimum easily; a small autonomous body usually combines diaries and pens into one order.

Can district offices receive their lots directly?

Yes. Each district office's quantity is packed and labelled separately, with the office name in Hindi and English, and sent by transport from Lucknow with tracking shared to the head office. Lucknow offices are delivered by hand against a challan.

How is payment made?

By bank transfer to our current account, as your office's process allows, against the GST invoice and delivery challan. UPI and card are also accepted for smaller orders where the office prefers them.
