Corporate gifts and branded print for hotels, banquets and restaurants in Lucknow
Hotels, banquet halls, restaurant chains, caterers and event venues in Lucknow brand two kinds of print: the pieces guests see — a desk calendar in the room, a pen at the front desk, a bag in a conference kit — and the gifts that go to the corporate clients, wedding planners and travel agents who fill the calendar.
The season runs from November to February, when weddings and year-end conferences overlap, so artwork approved in October covers both. Designed in Vikas Nagar, delivered to the property by hand.
A hospitality buyer rarely wants one product. The brief is usually a set — calendars for rooms, pens for counters, bags for a conference, shirts for the banquet team and a diary for the fifty accounts that matter — ordered once in October and topped up through the wedding season. This page is organised the way that brief is.
Two lists: the guests, and the people who send them
The first list is everyone who walks into the property. A guest in a room sees the desk calendar for the length of the stay and often takes it home; a delegate at a conference carries the kit bag for a day and keeps the pen; a diner signs the bill with the restaurant's pen. These pieces are not gifts so much as the property's name travelling outward, and they are ordered in volume — hundreds of calendars, thousands of pens.
The second list is shorter and more considered: the corporate travel desks that book rooms month after month, the wedding planners and families who book the banquet halls, the event agencies, the travel agents and the caterers' regular corporate clients. These people receive a diary or a boxed set at New Year, with the property's name on the cover and sometimes the account manager's card inside, because the next season's bookings depend on being remembered in January.
Where each piece goes and who sees it
Hospitality orders are easiest to plan by touchpoint. Budget is relative, not a price, and the quantities are the ones a mid-size property tends to need.
| Touchpoint | Who sees it | Product | Branding | Budget |
|---|---|---|---|---|
| Guest room desk | Every guest, for the whole stay | Wiro desk calendar, 12 sheets | Property photography, room-service numbers | ₹ |
| Front desk and bill folders | Arriving guests, diners | Printed pens | Logo on barrel, UV or screen print | ₹ |
| Conference kit | Delegates at corporate events | Conference bag, pen, notepad | Venue logo, co-branded with the event | ₹–₹₹ |
| Corporate accounts and travel agents | Bookers and decision-makers | PU diary with name, boxed pen | Foil logo, account manager's card | ₹₹₹ |
| Wedding planners and families | Banquet clients, past and prospective | Diary–calendar combo, paper weight | Foil logo, boxed | ₹₹ |
| Banquet and service staff | Guests, through the team's appearance | Printed T-shirts and shirts | Screen-printed logo in property colours | ₹ |
Conference kits, wedding season and the details that matter
These are the points that come up in hospitality briefs between October and February, and the ones to settle before the first event of the season.
- Co-branded kits at short notice
- A corporate client books a two-day conference for 300 and wants kits with both logos. With the venue's bag artwork already approved, adding the event logo and producing the lot takes the usual 5–10 working days after the client signs off.
- Writable room calendars
- Desk calendars for guest rooms carry a blank note strip under the grid and the in-house numbers — room service, housekeeping, concierge — on every sheet, so the calendar is used rather than moved aside.
- Photography that prints
- A property's photographs are its brand. Send the originals from the shoot, not web-size files; we check each image at print size, and twelve-month themes — one dish, one suite or one season per sheet — suit hotels and restaurants well.
- Staff shirts by size list
- T-shirts for banquet and event staff are screen-printed in the property's colours with sizes taken from a list, so the team looks uniform in photographs the wedding family will keep.
- Festival and wedding dates
- Calendars for banquet clients mark the auspicious wedding dates of the season alongside national holidays, which is why planners keep them on the wall.
- Top-ups through the season
- Pens and desk calendars run out between November and February. A repeat lot at the approved artwork needs only a quantity and a date.
A season timeline, October to February
October: approve the set
Room calendars, front-desk pens, the corporate-account diary and the staff shirts are briefed together, with the property's photographs and logo files. One mockup session covers the whole set and keeps the look consistent.
Early November: sample and first lot
A sample desk calendar, a pen and one diary are checked by the general manager or the marketing head at the property. The first lot — enough for November's weddings and the rooms — is delivered by hand before the season's first large event.
December: corporate-account diaries go out
Diaries with names for travel desks, planners and agents are delivered in the second or third week of December, so the sales team's year-end visits carry them.
January: room calendars are in place
Every room, the concierge desk and the restaurant host stand carry the 2027 calendar by the first week of January; spare stock covers guests who take theirs home.
Through February: conference kits and top-ups
Co-branded kits are produced event by event against the approved bag artwork, and pens and calendars are topped up as the wedding season runs on.
A worked example: a 120-room hotel with two banquet halls
This is an illustrative brief, not a client case study. A hotel on Shaheed Path has 120 rooms, two banquet halls, a coffee shop and a sales team of four handling about 60 corporate and travel-agent accounts. For the season it wants 400 desk calendars (one per room, plus front desk, restaurant and spares), 3,000 printed pens for check-in, bill folders and banquet registrations, 80 PU diaries with names for the accounts and the top wedding planners, and 70 printed shirts for the banquet team in the hotel's colours.
The photographs from the hotel's last shoot and the logo files arrive in the first week of October. The mockups for all four items go to the general manager together, the sample calendar and pen are checked at the property in the third week, and the first lot of calendars, pens and shirts is delivered by hand before the first wedding booking in the second week of November. The named diaries follow in mid-December for the sales team's visits. In January a corporate client books a two-day conference for 250 delegates, and a co-branded kit — bag, pen, notepad — is produced from the approved artwork and delivered to the banquet office the week before the event.
Restaurant chains, caterers and event venues
A restaurant chain with six outlets across Lucknow uses the same pieces at smaller scale: a table calendar at each billing counter, pens with the bill folders, T-shirts for the service team, and a New Year gift — a diary or a combo — for the corporate clients who order for office parties and the delivery partners' area managers. Outlet-wise packing means each manager receives their own carton.
Caterers and standalone event venues gift to the planners, decorators and corporate HR teams that bring them business, and tend to prefer a boxed set at Diwali, when the corporate-party season begins; the Diwali corporate gifts page covers those sets. For the old-city sweet shops and hospitality houses around Chowk and Aminabad, a wall calendar with the shop's name is still the piece that regular customers ask for every December.
Where Lucknow's hotels, banquets and restaurants are
The established hotels of Lucknow sit in and around Hazratganj; the newer properties, banquet halls and restaurant rows are in Gomti Nagar and along Shaheed Path towards Sushant Golf City, and the city's older hospitality — sweets, kebabs, the wedding caterers — is in Chowk and Aminabad. We deliver by hand to all of them from Vikas Nagar, usually before the lunch service or after it, and the full list is on the Lucknow areas page.
For a property deciding how much to spend on each account, the budget-per-recipient guide is the place to start; how we work explains the sample and approval steps. Hotels also take front-desk stationery, KOT and bill books and staff joining kits between seasons.
Questions hotels and restaurants ask
Can you produce conference kits with our logo and the client's logo together?
Yes. Once the venue's bag artwork is approved, each event's kit adds the client's logo to the bag, notepad or pen as agreed, and is produced in 5–10 working days after the client signs off the mockup.
How many desk calendars does a hotel need?
One per room, plus the front desk, concierge, restaurant host stand and offices, plus about 20 per cent spare for guests who take theirs home. A 100-room property usually lands between 150 and 200; the minimum run is 100.
Can the pen carry our name and still be inexpensive?
Yes. Printed plastic pens with the logo in one colour are the standard front-desk and bill-folder pen, ordered in the thousands. Metal engraved pens are kept for the corporate-account diaries and gift sets.
Do you print T-shirts and shirts for banquet staff?
Yes. Screen-printed T-shirts in the property's colours, or printed shirts, with sizes taken from your list. They are ordered with the rest of the set in October so the team is uniform for the season's first wedding.
Can we reorder pens and calendars during the season?
Yes. A repeat lot at the approved artwork needs only a quantity and a date, and is ready in the usual production window. Most properties order a second lot in December.
Is a GST invoice issued for each lot?
Yes. Each delivery, including season top-ups and event kits, carries its own GST invoice. Payment is by bank transfer, UPI or card, with an advance on confirmation and the balance before the lot leaves the studio.
